This is the privacy statement of JEX Technology Group B.V. (operating under the name ‘JEX’) and its affiliated companies. This privacy statement provides information about the personal data we process in the context of our (staffing and mediation) services, including our (AI) software and related consultancy.

We value your privacy and clearly explain in this statement how we collect, use, and protect your personal data. In all cases, we comply with applicable laws and regulations, including the General Data Protection Regulation (GDPR). 

  1. Personal Data in the Use of Our (AI) Software and Consultancy

Your Personal Data

When you use our (AI) software and consultancy, we process the following data:

  • account data: name, email address, contact details, username, and password;
  • technical data: IP address, device and browser information, log files, and metadata about software usage;
  • usage data: interactions with the software, preferences, and settings;
  • consultancy data: information shared during consultancy processes, depending on the nature of the service.

Purpose of Processing

We process this data to:

  • ensure the functionality and security of our (AI) software;
  • provide users with optimal support and experience;
  • analyze and improve our (AI) software and services;
  • provide personalized recommendations and insights;
  • comply with legal obligations.

With whom do we share your Personal Data?

We share your personal data only with:

  • our internal teams responsible for software development, support, and consultancy;
  • third parties providing essential services, such as hosting and security providers, only under a data processing agreement;
  • government authorities if legally required.

Retention Periods

Your personal data is stored as long as necessary for the purposes for which it was collected.

  • (AI) software usage: up to six months after discontinuing use of our (AI) software;
  • consultancy data: up to two years after completing the advisory process;
  • necessary administrative data: up to seven years due to tax and legal obligations.

 

  1. Personal Data in job applications

Your Personal Data

When you apply for a job with us, we process the following data:

  • name and contact details;
  • information from your CV and cover letter.
  • any other information you voluntarily provide as part of your application.

You are responsible for ensuring that the provided data is accurate and relevant.

Purpose of Processing

We process your data to assess whether you are suitable for the available position. If relevant, an assessment may be part of the evaluation process. Additionally, with your consent, we may perform reference checks and review publicly available social media profiles. Providing personal data for an application is not mandatory, but without this data, we may not be able to assess your suitability for the role.

With whom do we share your Personal Data?

Your data is shared only with:

  • intended managers and HR staff involved in the recruitment process;
  • if you apply as a temporary worker or contractor, potential clients/interested employers.

Retention Periods

By applying, you give us permission to store your data for up to one year after the recruitment process ends, so we can inform you about future job opportunities. Without your consent, we store your data for a maximum of four weeks after the process ends. You may withdraw your consent at any time.

  1. Personal Data of employees, temporary workers, and contractors

Your Personal Data

If you work for or through us, we process the following data:

  • identification and contact details: address, place of residence, place and date of birth, nationality, type of identification document, document number, and validity period;
  • work-related data: worked hours, skills, work experience, and education details;
  • salary and administrative data: copy of ID (for employees and temporary workers), personnel, payroll, and absence records;
  • self-employed contractor data: Chamber of Commerce and VAT number, insurance policy copy, invoicing, and payment details.

Purpose of Processing

We process this data to:

  • facilitate your work and fulfill our obligations as an employer or contractor;
  • comply with tax, labor, and/or social security laws.

With whom do we share your Personal Data?

We only share your data when necessary:

  • within our organization for contract and payroll administration;
  • with external parties if legally required or necessary for contract execution.

Retention Periods

Your data is stored:

  • up to two years after your employment or contract ends.
  • up to seven years for tax and administrative purposes.

Your Rights

  • have your personal data corrected, supplemented, or deleted;

  • restrict or stop the processing of your data;

We assess each request in accordance with the GDPR and inform you of the outcome within one month. If processing is complex, this period may be extended by up to two months.

Security and Data Sharing

We apply strict security measures to protect your data from loss, misuse, and unauthorized access, including:

  • physical, administrative, organizational, and technical measures such as encryption and access restrictions;
  • data processing agreements with external parties that process data on our behalf.

We do not transfer your personal data outside the European Economic Area (EEA) unless we have implemented appropriate safeguards.
